- This option allows you to enter the names of pupils initially. The program
- forces upper case entry surname first followed by first name, but will
- convert the printing to lowercase for printout etc. Some names such as Mc O'
- etc can cause problems with this but the common ones have been catered for.
- Please let me know of any of yours that cause problems. It is easier to
- enter the data if you do not have to worry about case and the program also
- assumes block entry by tutor group and sex, again to give minimum typing.
- The one provisor is that you use a first and second name only and that each
- name is unique. If you have five John Smiths you will have to call them
- SMITH JOHN1 etc or Johnny John or something. The computer ignores numerics
- for important printouts so SMITH JOHN1 would printout as John Smith but to
- find his record you would have to enter SMITH JOHN1. Any feed-back on this
- would be welcome. Since the program automatically overwrites old files with
- later versions you need to be careful when adding to a partially created
- file that you have specified that you have already started a file. Mistakes
- in data entry such as errors in spelling, assigning the wrong sex etc can be
- rectified using the amendment menu. It is worth using the desktop or *COPY
- to make backups of the NAMES file in a different directory or disc say every
- tutor group entered to avoid loss of data by mistakes until you are 100%
- confident.
- The numbers linking students to their records are assigned immediately
- before the calendar dates are inserted on selecting menu option 3 and these
- need to remain the same. For this reason any additional students should be
- added after this has been done using the amend menu to add a record. As this
- option will intelligently assign a number not already currently in use. You
- should set up the file in order option 1, 2 then 3 or things will not work
- properly since you need the tutor group menu in order to set up the names
- file for example.
